Job Title: Facilities Coordinator

Shift: 1st Shift, 7:30 AM – 4:00 PM

Compensation: $26 – $28 / Hour

Job Summary:
The Facilities Coordinator plans, schedules, and oversees daily and long-term work for the site-based facility maintenance team using CMMS and related software. This role also handles administrative tasks, assists with mailroom duties as needed, and coordinates small events and setups.

Essential Duties and Responsibilities:

  • Receive and schedule work for subcontractors and on-site personnel, ensuring data accuracy.
  • Interface with customers as necessary to clarify work requests and provide updates on status.
  • Create schedules and dispatch tasks to team members on a daily, weekly, and monthly basis.
  • Generate and manage weekly and monthly preventive maintenance (PM) activities, tracking progress for compliance.
  • Maintain work order logs and update records to ensure accuracy for monthly reporting.
  • Produce metrics, reports, graphs, and spreadsheets using applicable software as requested by the site manager.
  • Process daily timesheets for the team and verify correctness.
  • Assist in procuring materials and services, including issuing and maintaining purchase orders and invoices.
  • Schedule and maintain safety records for team members.
  • Maintain organized filing systems and proper record-keeping.
  • Perform additional duties as assigned by the site manager.

Qualifications:

  • Associate’s degree (A.A.) or equivalent from a two-year college or technical school.
  • Must be 21 years of age or older.
  • 5–10 years of related experience in an industrial maintenance or facilities environment.
  • Previous experience with CMMS and industrial maintenance operations preferred.
  • Strong organizational, communication, and administrative skills.
