Regional Property Manager – Multi-Site Portfolio (Youngstown / Austintown / Newton Falls / Niles, OH)

Compensation: $100,000 – $130,000 DOE
Schedule: Full-time | On-call responsibilities | 1 Saturday per month (4–6 hours)
Coverage Area: Approximately 40-minute radius across assigned properties

Position Summary

The Regional Property Manager is responsible for the operational leadership and maintenance performance of a multi-site residential portfolio consisting of 9 properties and approximately 2,500 units. This role provides direct oversight and development of 5 Maintenance Managers and their teams, ensuring all maintenance operations, unit turnover, and capital projects are executed efficiently, cost-effectively, and to company standards.

This position plays a critical role in driving maintenance excellence, financial performance, and resident satisfaction while fostering a high-performance culture across all assigned communities.


Key Responsibilities

Portfolio & Maintenance Leadership

  • Provide direct supervision, coaching, and support to Maintenance Managers across all assigned properties.
  • Ensure all maintenance operations, work orders, and unit turns are completed accurately, timely, and in alignment with company standards.
  • Monitor weekly work order and unit availability reports, addressing delays, inefficiencies, and recurring issues with site leadership.
  • Drive urgency and accountability in maintenance completion, minimizing callbacks and improving first-time fix rates.
  • Oversee quality control of unit turns and inspections to ensure consistent market-ready standards.
  • Conduct routine property visits and inspections to assess maintenance performance, curb appeal, and operational compliance.

Financial Oversight & Budget Management

  • Partner with the Managing Director to develop, manage, and monitor property-level budgets and cash flow performance.
  • Ensure maintenance-related expenses, purchasing, and vendor services align with approved budgets and competitive bidding practices.
  • Train and coach Maintenance Managers on budget awareness, cost control, and financial accountability.
  • Review financial variances and provide clear explanations and recommendations for corrective action.
  • Support inventory control, supply management, and vendor utilization to reduce unnecessary costs.

Systems, Reporting & Administration

  • Administer and reinforce Yardi maintenance workflows, ensuring accurate tracking of work orders, unit status, and purchasing activity.
  • Support training on purchase orders, change orders, and maintenance workflow systems.
  • Review PSR reports, aged vacancy reports, and maintenance dashboards weekly to identify trends and corrective actions.
  • Ensure proper documentation, including invoices, photos, and project reporting for capital and insurance-related work.
  • Maintain accurate and up-to-date reporting to the Managing Director on all assigned properties.

Maintenance Operations & Project Management

  • Oversee maintenance staffing effectiveness, ensuring proper technician assignment based on skill level and job complexity.
  • Coordinate with Maintenance Managers to resolve complex repair issues, escalating to vendors or Facilities leadership when necessary.
  • Manage capital projects, insurance work, and bank-related inspections, ensuring timelines and documentation requirements are met.
  • Implement structured project tracking and ensure adherence to established timelines and quality expectations.
  • Support inventory control and ensure adequate tools and materials are available to complete work efficiently.

Team Development & Culture

  • Support hiring, onboarding, training, performance management, and termination decisions for Maintenance Managers and related staff.
  • Foster a culture of accountability, professionalism, and continuous improvement across all maintenance teams.
  • Provide ongoing coaching in technical skills, time management, customer service, and operational priorities.
  • Promote collaboration between maintenance teams and on-site management to ensure cohesive property operations.
  • Lead by example in communication, professionalism, and adherence to company policies and procedures.

Customer Service & Resident Experience

  • Ensure maintenance teams deliver timely, professional, and high-quality service to residents.
  • Train and reinforce expectations for service request handling and resident communication.
  • Address recurring maintenance issues impacting resident satisfaction and retention.
  • Support efforts to improve occupancy and reduce turnover through responsive maintenance operations.

Compliance & HR Responsibilities

  • Ensure adherence to all company policies and procedures, including Fair Housing, ADA, FCRA, and all applicable landlord-tenant laws.
  • Oversee safety compliance and promptly address property hazards.
  • Support and participate in disciplinary actions, performance coaching, and staffing decisions.
  • Approve timekeeping and payroll for assigned teams and properties.

Performance Expectations / Results

  • Maintain strong work order and unit turn completion rates with minimal errors or callbacks.
  • Ensure maintenance teams meet productivity, quality, and financial targets.
  • Improve overall portfolio operational efficiency and reduce vacant unit downtime.
  • Strengthen team performance through coaching, accountability, and skill development.
  • Maintain budget adherence and improve cost control across maintenance operations.
  • Foster a strong, positive maintenance culture aligned with company standards.

Qualifications

  • Proven experience managing maintenance operations across multiple residential properties or large multi-site portfolio.
  • Strong knowledge of property maintenance operations, unit turns, and vendor management.
  • Experience with budgeting, forecasting, and financial performance tracking.
  • Working knowledge of property management systems (Yardi preferred).
  • Strong leadership, coaching, and conflict resolution skills.
  • Intermediate proficiency in Microsoft Excel.
  • Ability to travel regularly between assigned properties within a regional radius.
  • Strong understanding of Fair Housing and property compliance regulations.
